Board Member Responsibilities

PRESIDENT

The President shall chair over all meetings of the FMYSA Board at which he/she is present and conduct the Meeting in an orderly business manner.  He shall neither move nor second any motions or amendments thereto, nor shall he vote unless there is a tie at any Meeting, when he may exercise a casting vote to break the tie.  He shall conduct Meetings properly, preserve order, and provide opportunity for discussion of both sides of a question.  He shall represent the Association at meetings of the Alberta Soccer Association or designate a representative.  In addition, the duties of the President will include:

 

  • Arrange for all Board meetings
  • Oversee the administrative side of the Association including setting direction for the Office Administrators
  • Oversee the arbitration of disputes, formal complaints, etc., from parents, coaches, teams, organizations, and other interested parties
  • Provide guidance to the Development and Facilities Directorship for meeting their responsibilities, schedules, etc.
  • Other items that may arise throughout the year

 

VICE-PRESIDENT

The Vice-President assumes all responsibilities of the President in the absence of the President or when requested. In addition, the duties of the Vice President will include:

  • Participation in the arbitration of disputes, formal complaints, etc., from parents, coaches, teams, organizations, or other interested parties
  • Provide guidance to the Public Affairs, Coordinator and League Directorships for meeting their responsibilities, schedules, etc
  • Other items that may arise throughout the year

 

 

TREASURER

 

The Treasurer will maintain an accounting of all the Association financial matters.  The Treasurer will produce a budget plan at the start of each year and a year-end financial statement for the Annual General Meeting.  Other duties of the Treasurer will include:

 

·         Ensuring that the necessary annual filings as set out by the Corporate Registry are  

  submitted in accordance with the schedule set out

·         Maintain an accurate record of all transactions; report financial status       

 to the Executive on a monthly basis; advise and guide the Executive on matters

 associated with finance and a accounting: present a reviewed financial report to

 the membership at the Annual General Meeting: submit a reviewed financial

 report to the Alberta Societies Branch after each year end: coordinate the budget

 preparation exercise: prepare financial presentations as required for requests for

 funding and grants

·         Participation in the arbitration of disputes, formal complaints, etc. from parents,  

 coaches, teams, organizations or other interested parties

·         Other items requested throughout the year

 

 

PUBLIC AFFAIRS DIRECTOR

Full voting member of the FMYSA with responsibility for the committee on Public Affairs.  Duties of the Public Affairs Director include:

·         Prepare and manage FMYSA promotion plan

·         Coordinate Association releases/activities (including but not limited to,

 select team newspaper ads, etc. to media)

·         Coordinate registration-advertising blitzes for Indoor and Outdoor seasons

·         Stewardship to FMYSA on Public Affairs status and budget

·         Other items that may arise throughout the year

·         Team and Sponsorship solicitation

 

COORDINATOR MANAGEMENT DIRECTOR

Full voting member of the FMYSA with responsibility for the committee on the coordination of House and Select Team organizations.  Duties of the Coordination Director include:

 

·            Casino and other fundraisers

·            Organization of Team Photo sessions and disbursement to teams/sponsors

·            Organization of Annual Soccer Festivals

·            Purchase of awards (trophies, medals, etc.)

·            Stewardship of the FMYSA on Coordination status and Event budget

·            Other items that may arise throughout the year

 

DEVELOPMENT MANAGEMENT DIRECTOR

Full voting member of the FMYSA with responsibility for the committee on Player Development for the House and Select Team organizations.  Duties of the Development Director include:

·            Management of procedure for selecting Select/Dev Team Coaches 

·            House League Player Development

·            Select Team Player Development

·            Coordinate with Select/Dev Equipment Coordinator

·            Ensure Coaching Clinics are booked with ASA each season when required

·            Chair regular meetings with Select Team Coaches/Managers

·            Assist Teams with hosting Provincial Tournaments

·            Develop a long-term plan for improving the effectiveness of the Select Team and     House

      League organization with the President, VP and League Director, determine/set direction of   

      select and house league divisions each year. Stewardship of FMYSA on Development status and

      budgets

·            Bingo representative on California Bingo Palace Association and attend monthly meetings -

      Bingos worked by Select/Dev team players/parents

·            Other items requested throughout the year

 

 

EQUIPMENT DIRECTOR

Full voting member of the FMYSA with responsibility for the committee on the management of equipment for both the House and Select Team organizations.  Duties of the Equipment Director include:

·         Taking inventory after each Indoor and Outdoor Season

·         Ordering equipment (jerseys, track suits, bags, pylons, first aid kits, etc.)

·         Organizing team bags for each season

·         Organizing team jerseys with Team Sponsors

·         Tracking of jerseys issued

·         Collection of bags from Indoor and Outdoor Seasons; Collection of non-returned                 

     jerseys

·         Distribution and collection of other soccer equipment

·         Stewardship of FMYSA on equipment status and equipment budget

·         Other items that may arise throughout the year

FACILITIES DIRECTOR

Full voting member of the FMYSA with responsibility for the committee on Facilities Management. Duties of the Facilities Director include:

·          Coordinate seasonal soccer field requirements with Municipality

·          Negotiate field conditions/rentals with Municipality

·          Develop/implement plans to improve outdoor field availability

·          Develop/implement plans to construct Indoor Soccer Centre

·          Obtain Grant solicitation for facilities (Municipality, Companies, and Governments)

·          Stewardship to FMYSA on Facilities status and budget

·          Other items that may arise throughout the year

 

 

 

LEAGUE DIRECTOR

 

Full voting member of the FMYSA with responsibility for the committee on the management of House and Select Team organization.  Duties of the League Director include:

·          Organization of registered players of the Indoor and Outdoor season to Leagues                  

      and teams

·          Recruitment of soccer Coaches/Assistant Coaches and assignment to Leagues                      

      and teams

·          Team lists and schedules

·          Field (Gymnasium) assignment to Leagues

·          Re-adjustment to League teams and schedules two weeks after League play                        

      starts

·          Organization of end-of-year League Tournament

·          Communication of changes in team lists or schedules to Coordinator Director

·          Together with the Development Director determine/set direction of Select                            

      Team/House League divisions each year

·          Stewardship of FMYSA on League status

·          Other items that might arise throughout the year
